The 40th National Conference (NATCON 2024) was organized by the National Institute of Personnel Management (NIPM) Mangalore Chapter at the TMA Pai International Convention Centre, Mangalore on September 27-28, 2024. It was a grand event that provided Student members of the NIPM Mangalore Chapter, who are also members of the HR Forum at the School of Social Work, Roshni Nilaya, with a unique opportunity to volunteer and experience large-scale event management. A total of 29 students of the HR forum participated in the conference. The student members' journey, encompassing both the preparation phase and the activities executed during the two-day event, was nothing short of immense learning and immense joy. The insights we gained from hands-on involvement, teamwork, consultation, problem-solving, and the invaluable networking opportunities that emerged with the conference are countless.

Dr.Sebastin K.V, HoD, HR Department, School of Social Work, RoshniNilaya, served as the Chairman of the Program Committee. He performed a vital role in the entire coordination process, providing one-on-one guidance and critical solutions to resolve things during difficult times. His meticulous insights into planning were felt from the preparation for the event to the last mile coordination of the post-event activities.

The Student members of the NIPM Mangalore Chapter were assigned various responsibilities to ensure the smooth execution of the conference. These roles included escorting VIP guests, managing participant registration, and offering help desk support to attendees. Others took on responsibilities such as stage management, ensuring that sessions ran smoothly, and resource management, which involved checking the availability of essential materials like microphones and presentation equipment. Some members were involved in sourcing, packing, and distributing gifts for the guests, while others provided directional assistance, guiding participants to their respective venues and activity areas. Multiple briefing sessions and dry runs helped us familiarize ourselves with the venue and anticipate potential challenges, ensuring we were well-prepared for our roles.

During the conference, our tasks often extended beyond the initial assignments, requiring us to handle unforeseen situations efficiently. We faced unexpected challenges, such as last-minute changes in schedules and venue arrangements, which demanded quick thinking and effective collaboration. Communication within the team was essential, especially when accommodating delays in guest arrivals or rearranging session schedules. Dr. Sebastin K.V guiding us through each process and helping us navigate challenges smoothly.

Stage and resource management members ensured that each session proceeded well. Coordination with speakers and the technical team went beyond projectors and microphones. These responsibilities became opportunities to teach us vigilance and adaptability, responding to changing circumstances without disturbing speakers or disrupting the event’s flow. The conference provided an enriching learning experience, offering insights into practical event handling and professional networking. Each role deepened our understanding of teamwork, communication, and the importance of detailed planning. One of the most valuable aspects of the experience was the opportunity to interact with HR professionals from different regions, gaining insights into industry practices and future trends.

We were encouraged to Network with the experts. It not only had broadened our knowledge but also provided practical takeaways that will shape our career paths. Furthermore, the dynamic nature of the event taught us to stay composed under pressure and develop problem-solving skills, reinforcing the importance of flexibility in a professional setting. We gained lots of expertise from the event.

Volunteering at the 40th NIPM NATCON 2024 was a transformative experience, enriching both our personal and professional lives. It allowed us to step outside the classroom setting and apply our skills in a real-world context, enhancing our teamwork, adaptability, and communication abilities. The opportunity to network with industry leaders and observe HR practices firsthand was invaluable. This event will remain a memorable part of our academic journey, shaping us into more capable and confident professionals.
